SFCAHT MEETINGS
SFCAHT holds regularly scheduled meetings at least 3 times a year. The Steering Committee posts meeting agendas, approved by the Co-Chairs, on the SFCAHT website and distributes them to the e-mail list seven (7) days prior to the meeting. Please email sfcaht@gmail.com if you would like to be added to our e-mail list. Agencies confirm attendance via email and update the Co-Chairs on any changes to agency contact information. Participants may propose, in writing, additions to the agenda, additional action and discussion items, and written statements of opinion, at least five (5) days prior to a meeting. Collaborative meetings are open to the public. Voting rights are limited to member agencies. Each agency designates one representative to cast their agency’s vote at meetings and/or via phone or email when allowed by the operational guidelines.
The Collaborative makes decisions through consensus. A meeting is considered to have a quorum to make decision if at least two thirds of the member agencies that confirmed participation attend in person or by phone. The Collaborative as a coalition does not take policy positions or lobby specific bills, budget items or administrative procedures. Rather the Collaborative is a forum for member agencies to have discussions about policies and issues, identify shared concerns and priorities, and collaborate on advocacy positions and strategies. The Collaborative is listed as a sponsor or supporter of an event or issue if all participating agencies agree. Information about events or issues that the Collaborative is asked to sponsor or support are sent via e-mail to participating agencies and/or presented at a Collaborative meeting with notice given to members that sponsorship or support will be discussed. Members have seven (7) days to respond via e-mail or in person whether or not the Collaborative should be listed as a sponsor or supporter. Agencies that do not respond are considered to have abstained.
Notes are taken at every meeting. A copy of the notes and decisions is circulated to members within 10 working days of the meeting and are also be posted on the SFCAHT website.
